Job Description

Office Man­age­ment

  • You will have over­all respon­si­bil­i­ty for the orga­ni­sa­tion and coor­di­na­tion of all admin­is­tra­tive tasks and pro­ce­dures with­in the office
  • Han­dling incom­ing calls and deal with queries and cor­re­spon­dence
  • Respon­si­ble for man­ag­ing office ser­vices by ensur­ing office oper­a­tions and pro­ce­dures are organ­ised, fil­ing sys­tems are designed, sup­ply req­ui­si­tions are reviewed and approved and that cler­i­cal func­tions are prop­er­ly assigned and mon­i­tored

Stake­hold­er Man­age­ment

  • Cen­tral con­tact with all stake­hold­ers, act­ing as the inter­face between clients, employ­ees, and author­i­ties
  • You are the first con­tact per­son for all mat­ters con­cern­ing the office require­ments includ­ing deliv­ery ser­vices, ser­vice providers, care­tak­ers, couri­ers and more

Project Man­ag­er

  • You will receive your own tasks and projects such as the imple­men­ta­tion of a new account­ing struc­ture or the dig­i­tal­isa­tion of work­flows

Account­ing Man­age­ment (option­al)

  • You will take over parts of the orga­ni­sa­tion and coor­di­na­tion of the account­ing ser­vice and sup­port your col­leagues also with­in var­i­ous depart­ments
  • Report­ings

Your profile & skills

  • Hav­ing sev­er­al years of pro­fes­sion­al expe­ri­ence in a com­pa­ra­ble posi­tion is to be con­sid­ered as an asset
  • You are ambi­tious and enjoy chal­lenges and have a hands-on men­tal­i­ty
  • Excel­lent time man­age­ment skills and abil­i­ty to mul­ti-task and pri­ori­tise work
  • Atten­tion to detail and prob­lem solv­ing skills
  • Excel­lent writ­ten and ver­bal com­mu­ni­ca­tion skills
  • Abil­i­ty to work well under lim­it­ed super­vi­sion
  • Knowl­edge of account­ing, data and admin­is­tra­tive man­age­ment prac­tices and pro­ce­dures
  • Pro­fi­cient in MS Office and ide­al­ly famil­iar with Sales­force appli­ca­tion
  • Being a team play­er & strong cus­tomer ori­en­ted per­son

Your duties:


  • Imple­men­ta­tion of online book­keep­ing struc­ture
    • Cre­at­ing email address­es for the clients
    • Sign­ing them up for
    • Expla­na­tion to the clients and the book­keep­ing depart­ment
  • Cen­tral con­tact per­son regard­ing prob­lems with the online book­keep­ing
  • Call and email clients to pro­vide us with the need­ed doc­u­ments
  • Cre­at­ing a board on to pro­vide a bet­ter overview of the work­flow
  • Prepar­ing Excel sheets to sim­pli­fy invoic­ing


  • Ver­i­fi­ca­tion of tax state­ments
  • Keep­ing an overview of the dif­fer­ent steps when incor­po­rat­ing a com­pa­ny from clear­ing to mon­i­tor­ing year­ly
  • Reports as well as sys­tem intakes with­in Sales­Force
  • Part of com­pa­ny set­up
  • Sub­mis­sion of DDT10
  • Cre­at­ing pro­ce­dures for future employ­ees
  • Gen­er­al office jobs
  • Trans­la­tions


  • Con­duct a mon­i­tor­ing analy­sis of com­pa­nies regard­ing Share­hold­ers, UBOs and direc­tors
  • Cre­ate organ­i­grams for the dif­fer­ent com­pa­nies (trading/holding)
  • Exe­cute Google Search­es, World Checks and OFAC Sanc­tions List Search


  • Pay­roll test­ing for Audi­tor
  • Attend­ing con­fer­ences with clients who speak Ger­man to trans­late simul­ta­ne­ous­ly
  • Keep­ing an overview of the sta­tus of the audit for the dif­fer­ent com­pa­nies

We are look­ing to employ an inter­nal lay­er, who will be appoint­ed as legal project man­ag­er.

Main duties:

  • devel­op­ing an inter­nal struc­ture and sequence of legal ser­vices that our firm use and apply in get­ting future VFA ser­vice providers licensed and reg­u­lat­ed in Mal­ta;
  • cre­ation, imple­men­ta­tion, appli­ca­tion and main­te­nance + devel­op­ment of the project struc­ture;
  • client’s sup­port through the process of the licence appli­ca­tion, pro­vid­ing gen­er­al and spe­cif­ic advice on the licence appli­ca­tion itself and on the legal specifics aris­ing out of the legal con­text there­fore.
